Material Procurement for Architects and Interior Designers: Keep the Specification Intact

The bathroom drawing specifies a brushed finish. The purchase message says 'wall mixer, premium'. A polished version arrives and someone says it is close enough. It works perfectly, but it is not what the client approved. The mistake happened before delivery: a precise specification became an imprecise request.

Material procurement for architects and interior designers is not about choosing finishes; that is already done. It is about making sure the decision survives the schedule, the contractor's message, the product match, the quotation and the delivery. Every hand-off is a chance for a model number or finish to disappear.

MOB, aconstruction materials appserving Bengaluru and Mumbai since 2021, works with architects, interior designers and design-build firms every day. This guide shares the process that keeps design intent intact, whether you buy through dealers, brand stores or a platform.

What Every Material Request Must Preserve

FieldWhy it mattersIncomplete version
Product identitySeparates an item from a similar range'Premium wall mixer'
Size and applicationDecides fit and suitability'Bathroom tile'
Finish or colourProtects the approved look'Grey hardware'
Quantity and unitLinks drawings to purchase packs'Tiles for two bathrooms'
Substitution authorityStops silent design changes'Equivalent is fine'

Different categories need different details. The approved drawing, schedule, sample and manufacturer data remain the source of truth.

Where Specifications Get Lost

The original schedule lists manufacturer, series, model code, finish, size, location and quantity. By the time it becomes a WhatsApp message, it reads '10 hinges, silver'. That shorthand is understandable on a busy day, and it is exactly where a supplier or junior buyer starts guessing.

The fix is to copy the decisive fields into every buying request: product code and approved finish for visible items, and the performance properties for technical ones. Add the schedule revision so the buyer knows the request is current.

A Material Schedule Template for Procurement

A schedule that works for buying has one row per item and the columns below. Share it as a spreadsheet or PDF so the architect, contractor and supplier work from the same version.

Mark each row 'exact only' or 'alternatives allowed' and name the approver. That single column prevents most finish and dimension mix-ups.

Treat Product Photos as References, Not Specifications

Photos help identify a product family, but lighting and screens change how a finish looks, and one image often covers several variants. Check the written model, dimensions and finish against the schedule.

For prominent items, link the approved physical sample to the purchase. If the exact variant is unavailable, decide whether the change needs a new sample or client sign-off rather than assuming the closest photo is fine.

An Alternative Needs a Rule, Not a Vague 'Equivalent'

Some substitutions are harmless; others change appearance, performance, installation or maintenance. 'Equivalent' should mean a product reviewed against the requirement, not whatever is quickest to source.

Write down what can change and what cannot. A client may accept another brand but insist on the exact finish and size. A waterproofing detail may need a compatible approved system, not one replacement product. The person responsible for the specification approves the change.

Why Buying Construction and Interior Materials in One Place Helps

A fit-out mixes categories traditionally sold by different shops:tiles, bathroom and sanitaryware, hardware and fittings, laminates, lighting, paints andwaterproofing, plus cement and site consumables for the civil work around them. Each extra supplier adds a quote format, an invoice and a person to chase.

Consolidating does not remove the need to check specifications, but it reduces the places a specification can get lost, and gives the project one order history, one set of GST invoices and one contact for returns and warranty claims.

Turn a Material Schedule Into a Reviewable Quote

A quote is easy to approve when each line refers back to the schedule: item number, room, specification, quantity, unit, and whether it is an exact match or an alternative. The same discipline applies to the civilproject BOQ.

On MOB,Magic Quoteaccepts a schedule as a PDF, spreadsheet, photo or handwritten list and matches items to the catalogue. For larger quantities, send anRFQ for project quantitieswith the approved schedule attached. Either way, a proposed match is a question for review, not proof the specified material has been found.

Compare Prices Only on a Common Basis

Two quotes for 'the same tile' may differ because one is for the specified finish and the other for another series. Align product, unit, quantity, GST and delivery terms first. A cheaper quote for a different specification is not a saving.

For tiles and laminates, buy an area's full quantity from one batch where possible. Staged delivery helps storage, but visible finishes need shade and batch consistency.

Managing Cash Flow on Interior Projects

Design firms often pay for materials weeks before a client milestone payment arrives, and that gap can delay procurement and push the programme.

mobCredit for design firmsgives eligible businesses 90 days to repay, with the first 21 days after delivery interest-free and no collateral. Each purchase is authorised by OTP, so the principal keeps control of spending.

Approval Does Not End at Checkout

Give the site receiver a short, checkable record: product code, finish, quantity and where each item goes. Inspect appearance-critical finishes before installation and check shade and batch numbers on tile boxes.

If a product differs, pause that line. Returning a box at the gate is far cheaper than replacing a laid row of tiles or a fitted set of hardware.

How a Material Moves From Design to Installation

StageRecord that mattersTypical loss of detail

Buy it in this order

  1. Issue a dated, approved schedule using the template columns.
  2. Keep model codes, dimensions, finishes and rooms on every buying request.
  3. Mark each line 'exact only' or 'alternatives allowed' and name the approver.
  4. Upload the schedule to Magic Quote or send an RFQ for project quantities.
  5. Review each quote line as an exact match or labelled alternative.
  6. Compare prices only after aligning spec, unit, GST and delivery terms.
  7. Give the receiver the approved product details.
  8. Inspect visible or critical materials before installation.

What to verify on the bag or box

  • Write the approved sample reference beside every visible-finish item.
  • Put the schedule revision and date on every exported list.
  • Ask for alternatives to be labelled as alternatives in the quote.
  • Never let a photo replace a product code.
  • Check dimensions and connections before approving a plumbing or hardware substitute.
  • Buy tiles and laminates for one area from a single batch.
  • Record who approved each change.

Frequently Asked Questions

What is material procurement for architects?

It is the process of turning an architect's approved specifications into orders and deliveries without losing product codes, finishes, dimensions or approved alternatives.

Can architects use a construction materials app for procurement?

Yes. An app speeds up sourcing and quoting, provided every product is checked against the approved schedule, samples and technical requirements.

What should an architect include in a material buying request?

Brand or approved-equivalent rule, model code, dimensions, finish, room or work area, quantity, unit and the current schedule revision.

How should an interior designer approve an alternative material?

Compare appearance, size, function, installation and other specified properties with the approved item, and record who authorised the change and whether a sample or client sign-off is needed.

Is a product photo enough to confirm a finish?

No. Check the written variant and product code, and refer to the approved physical sample for appearance-critical items.

Can I buy interior and construction materials from one platform?

Some platforms cover both. MOB lists tiles, sanitaryware, hardware, lighting, laminates and paints alongside cement, waterproofing and site materials for Bengaluru and Mumbai.

Can MOB quote a mixed interior material schedule?

Yes. Upload it to Magic Quote or send it as an RFQ, then review every proposed match against the approved schedule before buying.

Is there credit for architects and interior designers buying materials?

MOB's mobCredit gives eligible firms 90 days to repay, with the first 21 days after delivery interest-free and no collateral.
